Inviting Participants to a Zoom Room Meeting using the Touch Panel or Monitor

In most cases, users should be invited to meetings from the Zoom.us Web Portal. However, it is also possible to invite users directly from a Zoom Room’s Touch Panel or ViewSonic monitor in the manner described below.

To invite one or more users to join the meeting you are actively hosting in a Zoom Room, select the Participants button on the display, then select the Invite button.

Tip: If no controls are present on a ViewSonic monitor, touch the center of the monitor to make them appear.

The Touch Panel lists three options for inviting users: by Contact, Email, or SIP/H.323.

The Contact option is used to call a particular Zoom Room or Zoom user within the University. Select the user or users you want to invite to the Zoom Room’s meeting. These users, provided they have the Zoom application installed and opened, will receive an incoming call notification that, if accepted, will connect them to the meeting.

Important: A green bubble next to a user’s profile picture indicates that the user is online and ready to receive your invitation. Users who are not online will receive no indication that they have been invited to your meeting.

The Email tab is used to send a meeting invitation to one or more email addresses. Enter the email address or addresses you want to send invitations to in the To: box. If you want to invite multiple users at once, enter each of the addresses, separated by commas, into the box. If needed, you may customize the subject line and message body using the Subject: and Content: boxes. To send the e-mail, tap the blue Send button in the upper-right corner of the screen.

Tip: If the Send button is gray, it most likely indicates one or more email addresses are not formatted properly. Check the address formatting and try again.

Note: You cannot search University contacts by name. You must manually enter the email address of each user. To save time, it is recommended that you invite users beforehand from your own device.

The SIP/H.323 tab is intended for certain legacy systems which are incapable of connecting to Zoom by normal means. Users should not enter any information or press any buttons on this screen.
