How To Perform a Zoom Recording in a Trimodal Room

All COL recordings start and stop automatically with your lecture. However, there may be times when you wish to produce a separate recording using the Zoom software on the room's Crestron system. This guide explains how to do that.

 

Note: Some non-trimodal rooms with a Crestron system have Zoom functionality; others do not. Take some time to familiarize yourself with the capabilities of the room you will be lecturing in.

 

Tip: If you see audiovisual controls instead of Zoom controls on the Crestron display, press the HOME button once.

 

Starting the Zoom Meeting

A Zoom meeting must be in progress on the Crestron system before you will be able to initiate a recording. COL system recordings are not affected.

 

If a meeting is already in progress:

You may use the default meeting to record your classroom, or not. If you want to use the default meeting, skip to Starting the Recording below. If you do not want to use the default meeting, press the red END button, press "End Meeting For All", then proceed to If No Meeting Is In Progress below.

 

If no meeting is in progress:

If the Crestron Touch Panel's display looks like the image below (Figure 1), then no meeting is in progress.

If you have prepared a meeting ahead of time, press JOIN, and then type the meeting's ID number into the Touch Panel. If asked to specify a display name, press "SKIP". Enter the passcode if required. If you have not prepared a meeting ahead of time, create one by pressing NEW MEETING, and skip display name entry. When you create or join the meeting, the green "Share Content" button turns red, indicating that projector content is being streamed into the meeting. If the button does not turn red automatically, press it, and press the "SHARE" button in the box that appears.

 

Starting the Recording:

In many cases, only the meeting host or co-host can start the recording. If you joined a meeting, the Crestron system may not be considered the meeting host, or the meeting host may be changed when the meeting creator joins. You can check if the Crestron system is the meeting host or co-host by pressing the "Participants" button, looking for the room's listing, and seeing if a "Co-Host" byline is present. Figure 2 below shows a scenario in which the Zoom Room is not a meeting host or co-host. To resolve this issue, the meeting creator must use their personal device to make the room the co-host (not the host), which should result in a byline similar to Figure 3.

To start the recording, select the "MORE" button (Figure 4), then select the "RECORD" button (Figure 5). If you pressed New Meeting, a box will appear, prompting you to enter your e-mail address (Figure 6). When the recording is stopped, it will be sent to the e-mail address you entered, where it can be downloaded to your computer or shared with others. If you pressed Join, you will not see an e-mail prompt; instead, the recording will be sent to the e-mail address of the meeting creator.

Determining What Is Visible In The Recording

Unlike the COL system, the Zoom application typically records only one video feed, which is determined by the person who is speaking, and by your selections on the Crestron Touch Panel. To determine what is shown while you are speaking over the room's microphone:

1. Decide whether you want the Instruction Computer screen to display, or not.

If the "Share Content" button is red, the Instruction Computer's screen is being presented to the meeting. If it is green, a camera, or the Kaptivo (whiteboard), is being displayed. To change this setting, press the "Share Content" button (Figure 7), and then press the second button in the confirmation window, if it appears. If you want a camera or Kaptivo to display, proceed to Step 2. You can change this setting as many times as needed throughout the recording.

2. Determine which camera should be displayed



 Trimodal rooms have two cameras, and a Kaptivo sensor (which is considered by the Crestron system to be a camera). To change the camera in use, first make sure that you are not sharing the Instruction Computer screen, as described above, then push the "Switch Camera" button. You can then select one of three cameras (Figure 8):

1. Instructor Camera: the most commonly-used camera, situated at the back of the room and focused on the front of the room.

2. Classroom Camera: situated at the front of the room, used to look at the student desks in the front, center, and back of the room.

3. Kaptivo: used to display the content being captured by the Kaptivo whiteboard sensor.

Ending the Recording

At the conclusion of your lecture, you need to end the recording. To do this, press the "MORE" button (Figure 4), then press the "RECORD" button (Figure 5). Once you have done this, disconnect the Crestron system from the meeting by pressing "END", and then pressing "END MEETING FOR ALL". If this button does not appear, press "LEAVE MEETING", then end the meeting on your personal device.
