BlueM@il: Access a Shared Resource Mailbox


When you are granted access to resource accounts there are several ways to access them.  Below are the instructions for how to properly gain access. Please note if you have configured access to your resource account using a username/password, you will need to reconfigure your access.


Full Access

Full access permission is automatically assigned to the resource mailbox owner(s) upon creation. Resource ownership can be changed by submitting a Resource Mailbox Update. This permission grants full access to all items in the mailbox and the ability for the owner(s) to setup folder or delegate permissions to the account's Calendar, Inbox, etc.

Outlook Desktop (Windows and MacOS):

Windows: A resource that you have been granted full access to should appear in your Outlook folder list without you having to do anything.  You can review these instructions from Microsoft to see what things should look like.

MacOS: To open a resource account you have full access to on macOS, review these instructions from Microsoft. If prompted to login, it may autofill the username of the resource account. Select 'sign in with another account' and login with your own BlueKey credentials.

Outlook on the Web (OWA):

To access a resource account that you were granted full access to using Outlook on the Web (OWA) you can review these instructions from Microsoft.

Outlook Mobile (iOS & Android):

To add a resource account that you have been granted full access to on your mobile device, you can use the Outlook mobile app.  Review these instructions from Microsoft for the steps to add the account.  No other method for accessing a resource account via mobile is supported.


Folder or Delegate Access

You may have been assigned permissions to specific folders by the owner(s) of a resource account. These permissions grant you various levels of access to individual folders within the mailbox (Calendar, Inbox, etc.). To request this type of access, please contact the resource account's owner.

Outlook Desktop (Windows and MacOS):

Windows: To open a shared folder for a resource account on Windows, you can review these instructions from Microsoft.

MacOS: To open a shared folder for a resource account on macOS, review these instructions from Microsoft. If prompted to login, it may autofill the username of the resource account. Select 'sign in with another account' and login with your own BlueKey credentials.

Outlook on the Web (OWA):

To open a shared folder for a resource account using Outlook on the Web (OWA) you can review these instructions from Microsoft.

Outlook Mobile (iOS & Android):

Only those who have been granted the full access permission mentioned above are able to connect a mobile device to a resource account. Folder access from a mobile device is not a feature allowed by Microsoft at this time.
