CDM AV User Guide - Trimodal Classrooms


Trimodal Classrooms include an advanced Crestron AV system with touch panel, upgraded cameras and microphones, dedicated Zoom computers, wall and/or ceiling speakers, and additional dedicated Zoom Room controls that can be found on the touch panel. Zoom meetings are initiated and controlled from the Zoom Room controls on the touch panel. In addition, there are two cameras in each classroom, one facing the students and one facing the instructor, two large-screen monitors, one at the back and one at the front or side of the classroom, a whiteboard capture camera, wall and/or ceiling speakers, and an upgraded laser projector.

The Trimodal classrooms represent some of the most technologically capable spaces within CDM. They are extremely flexible if needed and have been designed to accommodate several teaching modalities including traditional in-person classes, synchronous remote class sections, and completely asynchronous class sections.

 

Powering On the System

This page is displayed when the system is off.

Press to Begin: Touch this button to power on the system.

A lightbulbTroubleshooting Tip: If the display on the touchscreen is black, tap the screen to wake the display from sleep mode. If you see Zoom controls on the screen, press the Home (looks like a house) button on the right-hand side of the touchscreen to return to the Crestron controls.

 

Main Screen

This is the first screen you will see after turning on the system. You can select the video source you would like to use from this screen. Descriptions of each button on this page are below.

The screenshot above shows the video routing page in the Trimodal rooms. The upper section shows the sources available:

1. Zoom Output 1: This selects the 1st output of the dedicated Zoom computer as the source to be routed.

 

2. Zoom Output 2: This selects the 2nd output of the dedicated Zoom computer as the source to be routed.

 

3. AirMedia: This selects the AirMedia wireless presentation gateway as the source to be routed.

The lower section shows the destination displays available in the space. In the current Trimodal rooms, there are 3 displays available: the projection screen, a front display, and a rear display.

A lightbulbNOTE: The display will look slightly different in CDM 200, 222, and 228. Work is underway to standardize all trimodal classroom interfaces. Source selection in 200, 222, and 228 aligns with Zoom+ classrooms.

 

Projector Controls

This is the screen you will see after pressing “Projector Controls”.

1. Projector On: Turn on the projector (Button is blue when active).

 

2. Projector Off: Turn the projector off.

 

3. Projector AV Mute: Temporarily stop projection of the active image without turning off the projector (Button is blue when active).

 

4. Front/Rear Display On / Off: Powers the front or rear display on or off.

 

Audio Controls

This screen appears as a “pop-up” window when the “Volume” button is pressed.

A lightbulbNOTE: In Trimodal classrooms, the audio controls only adjust volume levels of content played OUTSIDE of Zoom. At the time of publishing, it currently controls the AirMedia source volume.

 

Help Page

This screen will be displayed after pressing “Help”. This screen outlines the various functions of the Crestron controls along with contact information on how to get help.

1. Touch to request assistance: This feature is slated for removal and does not work reliably.  Please call or email for assistance.

 

2. Touch to cancel help request: This feature is slated for removal and does not work reliably.  Please call or email for assistance.

When the Help request is triggered, the button turns green and shows a checkmark to indicate the request was successfully sent. If you no longer need help, press “Touch to cancel help request”.

Powering Off the System

The system can be powered down by pressing the power button in the top right-hand corner of the touch panel bezel.

Once pressed, you will see the screen below:

1. Yes: Powers down the system and turns off all AV system peripherals in the space including projectors and Blu-ray players.

 

2. Cancel: Returns to the previous page.

 

Trimodal Classroom Zoom Controls

The information below outlines the Zoom-specific controls and procedures for these spaces. The information below assumes the system has been powered on following the steps above.

A lightbulbNOTE: In Trimodal Classrooms, the Zoom controls can be accessed by pressing the Home button on the right hand side of the touch panel. In CDM 200, 222, and 228, the touch panel does not have a physical home button. The controls can be “flipped” between Crestron room controls and Zoom controls by swiping down from the top center of the touch panel screen and pressing the Home icon.

Creating a Meeting

A lightbulbNOTE: Prior to using the Trimodal classrooms, instructors will need to create a Zoom meeting for their class session and join the classroom to this meeting.

To ensure that all students will have access to the Zoom link, meetings for Trimodal classrooms should be scheduled through D2L.

 

Schedule a Zoom Meeting in D2L

1. From the course site, select Edit Course.

 

2. Select Zoom.

 

3. Select Schedule a New Meeting.

 

4. Input the meeting information.

 

5. Select Save when finished.

 

6. On the page that opens, copy down the Meeting ID.

 

7. To access the meeting from the Trimodal room, Instructors will need to input the Meeting ID into the touch panel and the passcode. (See Start a Meeting section below).

The session link will be added to the Course Calendar on D2L. It is recommended to also add a direct link to the meeting within the course by copying and pasting the Invite Link from the Zoom meeting information window.

 

Share Content Without Starting a Meeting

In instances where you do not need to start a Zoom meeting for a synchronous class session, you can share the instructor computer to the projector by following the steps below.

1. Select the Zoom controls by pressing the Home Button.

 

NOTE: If needed, press again to flip back to the Crestron controls.

 

2. Once the touch panel flips to the Zoom controls, select Share Content

A lightbulbNOTE: If a meeting or screen share is already in progress, once on the Zoom controls press Stop Current Share or End Meeting for All and then follow the steps above starting at Step 2.

 

Start a Meeting

The Meeting ID and Passcode will be entered on the touch panel to join the room to the existing meeting created by the instructor.

1. Select Zoom as the video source on the touch panel.

 

NOTE: If you do not see the video sources, press the Home Button to flip back to the Crestron controls.

 

2. Once the touch panel flips to the Zoom controls, select New Meeting on the right-hand side of the screen

 

Joining an Existing Meeting

The Meeting ID and Passcode will be entered on the touch panel to join the room to the existing meeting created by the instructor.

1. Select Zoom as the video source on the touch panel.

 

NOTE: If you do not see the video sources, press the Home Button to flip back to the Crestron controls.

 

2. Once the touch panel flips to the Zoom controls, select Join on the right-hand side of the screen

 

3. Enter the Meeting ID, press Join

 

4. Enter the Passcode and press Ok.

 

Giving the Zoom Room Host Control

In order to enable full functionality including screen share permission control and participant control such as mute all, unmute all, etc. the Zoom Room needs to be made a host for the meeting. This can be accomplished by following the steps below.

1. Log in to depaul.zoom.us from the instructor computer or another device.

 

2. Click Profile on the left side of the window.

 

3. Scroll down to the “Meeting” section and find the item called Host Key

 

A lightbulbNOTE: It will be obfuscated by default. Click the small “eye” icon to the right to reveal the key

 

4. On the touch panel, in the Zoom controls select Participants.

 

5. At the bottom of the window that opens, select Claim Host

 

6. Enter the Host Key from Step 3.

 

Room Controls

The Trimodal classrooms are configured with advanced Zoom controls that allow the user to trigger “presets” based on specific use-case configurations. To access the Room Controls follow the steps below.

1. In a running meeting select the Room Controls icon in the top right-hand corner of the touch panel. ()

 

A lightbulbNOTE: The icon is next to the Settings gear icon in the top right-hand corner of the touch panel.

 

2. Select the appropriate preset configuration from the pop-up window.

 

The preset configurations are outlined below:

Standard - Assumes no Zoom meeting or remote participants. The instructor computer is sent to the projection screen and the front and rear displays are powered off.

 

Lecture - Assumes Zoom meeting and remote participants. The instructor computer is sent to the projection screen and the front and rear displays show remote participants. Instructor should configure Instructor camera to be used in this configuration. See Change Camera Settings or Switch Cameras section.

 

Student Presentation - Assumes Zoom meeting and remote participants. The remote participant will need to share their screen. This will then be displayed on the projection screen. The front and rear displays will show remote participants. Instructor should configure Classroom camera to be used in this configuration. See Change Camera Settings or Switch Cameras section.

 

Seminar - Assumes Zoom meeting and remote participants. The instructor computer is sent to the projection screen and the front and rear displays show remote participants. Instructor should configure Classroom camera to be used in this configuration. See Change Camera Settings or Switch Cameras section.

A lightbulbNOTE: Cameras and content share sources are NOT changed when selecting presets. If a different camera or content share source is desired, these will need to be configured manually in the Change Camera Settings or Switch Cameras section. Work is underway to incorporate these changes into the room controls presets in the future.

 

Share Content From the Instructor Computer

A lightbulbNOTE: Anything being projected to the projection screen in the Trimodal rooms will be captured by the COL capture system.

The instructor computer is set as the default content share source. In the event the instructor computer does not share automatically when starting a Zoom meeting, follow the steps below to share it as the content source to the projector in the room and to remote participants.

1. In a running meeting select Share Content or Camera.

 

2. Under the “Desktop” tab in the “Content PC” section, select Start Sharing.

 

A lightbulbNOTE: This button is roughly halfway down the page. If the display says “No HDMI Cable Connected”, ensure the computer is on and awake. If it is, restart the instructor computer to reset the connection to the Zoom computer.

 

Share Content From a Laptop or Mobile Device

Content can be shared from a laptop or mobile device if desired. The content can be shared through the Zoom application running on a device or via web browser. To do so, follow the steps below.

1. In a running meeting select Share Content or Camera from the Zoom controls on the device that should be shared.

 

2. To share via Zoom application, launch the application on the device and select Share Screen. Enter the Sharing Key displayed on the touch panel and projection screen.

 

A lightbulbNOTE: If connecting to the meeting in the same room, the external device MUST mute the microphone AND speaker to prevent feedback from occurring in the room.

 

3. To share via web browser, browse to share.zoom.us and enter the Meeting ID displayed on the touch panel and projection screen.

 

Change Camera Settings or Switch Cameras

The Trimodal classrooms are equipped with 3 cameras: 2 advanced pan-tilt-zoom or PTZ cameras near the front and rear of the classroom and a Kaptivo whiteboard camera at the front. The instructor can choose a single camera to use and show remote students by following the instructions below.

1. In a running Zoom meeting select Switch Camera on the Zoom controls to toggle between each camera attached to the system.

 

2. Select the Instructor camera to show the instructor location or Classroom camera to show the classroom.

 

Selecting the Kaptivo Camera

1. If using the Kaptivo camera, select the Kaptivo as the camera source under the Switch Camera controls on the Zoom controls.

 

2. Press the camera button on the white panel mounted on the front wall next to the whiteboard to activate the camera.

 

A lightbulbNOTE: Remote students will only seek the Kaptivo camera when it is selected either as a content or camera source and when the camera has been activated by pressing the camera button on the panel mounted on the front wall next to the whiteboard.

 

Record the Meeting

The instructor can record their class meeting to their Zoom cloud account if they so desire by following the steps below.

NOTE: There is no option to record locally - recording to the Zoom cloud is the only option. Instructors can see their recordings by browsing to depaul.zoom.us and selecting Recordings.

1. In a running Zoom meeting select Record on the Zoom controls.

 

2. If the meeting was created beforehand following the steps in Creating a Meeting above, the recording will automatically save to the meeting creators Zoom cloud account.

 

3. If the meeting was created in the room (eg. An ad-hoc meeting), the instructor will need to enter their email address to send the recording to their Zoom cloud account.

 

Enable Live Transcription Mode

Live Transcription can be overlaid over the content share source if desired for accessibility purposes. To enable live transcription, follow the steps below.

1. In a running meeting select Participants on the Zoom controls.

 

2. At the bottom of the window select More.

 

3. Select Enable Live Transcription.

 

View Chat Window

The chat window can be shown in two locations in Trimodal rooms: on the touch panel or overlaid on top of the content share source on the projector.

A lightbulbNOTE: These settings only affect the chat experience in the classroom. Remote participants will still be able to configure their chat window location and configuration individually.

To view the chat window on the touch panel, follow the steps below.

1. In a running Zoom meeting select Chat on the Zoom controls.

 

To overlay the chat window on the content share window (projector) follow the steps below.

1. With the chat window open, click the Settings (Gear) icon in the top right-hand corner.

 

2. Select Show notification on TV toggle on or off to display new chat notifications on the content share window (projector).

 

3. Select Show full chat panel on TV toggle on or off to display a persistent chat window on the content share window (projector).
